The Nerf Guys – Terms & Conditions - Private Bookings

1. Booking & Payment

  • A deposit (amount specified at the time of booking) is required to secure your event date.

  • Final payment must be made no later than the day of the event.

  • Bookings are confirmed only upon payment of the deposit and receipt of a confirmation email.

  • Prices are subject to change, but will not affect confirmed bookings.

2. Cancellation & Rescheduling

  • General Cancellations: Clients may cancel at any time; however, all deposits are strictly non-refundable.

  • Short-Notice Cancellations: Cancellations made on the day of the event (prior to staff commencing travel) will incur a fee equal to 50% of the total booking cost plus travel expenses.

  • Commencement of Service: If the cancellation occurs after "Preparation" has begun, the client is liable for 100% of the booking cost.

    For the purposes of these terms, "Preparation" is defined as the moment our staff begins traveling to your venue. This typically commences two (2) hours prior to the scheduled set up time. Once travel has begun, the full party fee is non-refundable and due in full.

  • Standard Rescheduling (More than 24 Hours Notice)

  • Complimentary Allowance: You are entitled to two (2) free rearrangements, provided notice is given more than 24 hours before the event.

  • Administrative Fees: The third rearrangement request (and any thereafter) will incur a £20 administration fee, payable before confirmation.

  • Availability: All rescheduling is subject to our existing calendar. We cannot guarantee that your new preferred date will be available. If no mutual date is found, the original cancellation terms apply.

3. Emergency/Short-Notice Rescheduling (Less than 24 Hours Notice)

  • Requests made on short notice are subject to the following charges to cover lost staff time and logistics:

    3.1 Notice Period: 2 to 24 Hours

    • Fee: 50% of the original booking fee plus all applicable travel costs.

    • Terms: This fee is non-refundable. Any subsequent changes will incur a £50 administrative charge.

  • 3.2 Notice Period: Less than 2 Hours

    • Fee: 100% of the original booking fee plus a £50 penalty.

    • Terms: This payment is strictly non-refundable. Any subsequent changes will incur a further £50 administrative charge.

  • Failure to pay rescheduling fees will result in the booking being marked as a "No-Show," and all paid funds will be forfeited.

4. Safety & Supervision

  • All children must follow safety instructions provided by our staff at all times.

  • Protective eyewear must be worn during gameplay. Failure to comply may result in removal from the activity. This will be provided by us.

  • A responsible adult (parent/guardian) must remain on-site at all times and is responsible for general supervision and behaviour.

5. Venue Requirements

  • The organiser (the booker) is responsible for ensuring the venue is suitable for Nerf activities (clear space, safe conditions).

  • For outdoor events, unsuitable weather may result in cancellation of the activity or an alternative date may be provided, we are under no obligation to provide an alternative date within a specified time-frame. Deposits are non refundable in this situation.

    Outdoor party the deposit increases to £100 for outdoor parties, please make sure this has been communicated to us before completing this form, Outdoor parties have an additional charge of £15 to cover the loss of Nerf Darts.

    • Outdoor parties T&Cs

    • Outdoor parties can only be held on private land and the grass must be short so that we can find our Nerf darts afterwards.

    • If multiple groups of players are attending, we will ask each group to pick up the Nerf darts before another group joins.

    • All effort will be put in to collect any and all Nerf darts within 30 minutes after the party. Any Nerf darts left on or around the property is solely the customers responsibilities.

    • The location must be clear of all excrement.

    • Inflatables are not available outdoors, themes will still be charged at full price for outdoor parties.

    • Weather does have an impact on the party, in extreme weather the staff member may decided to stop or limit the activity. You will be charged in full if this occurs and no alternate indoor location is available. 

      Varying degrees of wind will prevent some battlefields objects from being used. This will be up to the staff members judgement.

    • If Met Office have issues a yellow or higher weather warning for the day of the party, then the party will need to be cancelled or reorganized.

      Customers may be liable for cancellation charges because of weather, outdoor parties are organised at the customers risk.

    • Reorganisation of the activity is free for the first two instances of reorganising the activity providing we have 24 hours notice, any reorganisation within 24 hours is explained in our terms and conditions.

6. Participant Requirements

  • We do not have a hard rule when it comes to age, however we recommend 5+ as younger children may struggle with the Nerf Guns.

  • Participants must be physically able to take part in active games. Parents are required to help if the player is unable to participate, The Nerf Guy must be able to provide attention to any player and cannot be distract by the needs of a small minority.

  • Any medical conditions, allergies, or additional needs that may effect game-play must be disclosed prior to the event.

  • All participants are expected to arrive on time, as rules will need to be explained to the players, Any late comers will not be able to play until all rules have been explained and understood.

7. Liability

  • The Nerf Guys takes every precaution to ensure a safe environment. However, we are not liable for injuries caused by disregard of rules or inappropriate behaviour.

  • We are not responsible for personal belongings that are lost or damaged during the event.

8. Equipment

  • All equipment remains the property of The Nerf Guys.

  • Only Nerf Guys equipment can be used. All equipment will be unmodified and safe to use.

  • Any intentional damage or loss of equipment may incur a replacement charge.

9. Photography & Media

  • We may take photos/videos for promotional use. You will be asked for consent before the party. If consent is declined, no identifiable images will be used.

10. Behaviour

  • Aggressive, harmful, or abusive behaviour will not be tolerated.

  • Staff reserve the right to remove any participant or end the session if behaviour compromises safety.

11. Covid-19 / Illness Policy

  • If any participants are unwell, they should not attend.

  • If a party must be postponed due to illness outbreak, this will fall into our reorganisation terms and conditions

Terms and Conditions - Public/Ticketed activities.

1. Booking & Payment

  • Tickets are non refundable if you are unable to attend. Tickets cannot be transferred to another owner, unless event has been cancelled by us

  • All paid tickets must proceed through Eventbrite and are subject to their terms and conditions

2. Cancellation & Refunds

  • If the event cannot proceed due to extreme weather, illness of staff, or unforeseen circumstances, The Nerf Guys will offer a full refund
